Privacy Policy

We keep it simple: Elara only collects what it needs to function. We do not sell your data. We do not share it with third parties for advertising purposes.

1 Introduction

This Privacy Policy explains how Elara ("the Bot", "we", "us") collects, uses, and stores information when you use our services. By using Elara, you consent to the data practices described in this policy.

Elara is a Discord bot and its data collection is limited to what is necessary to provide its features to Discord servers.

2 Data We Collect

Elara collects and stores the following types of data in our MongoDB database:

We do not collect message content beyond what is explicitly required for features like automod or the snipe cache.

3 How We Use Your Data

All data collected by Elara is used solely to operate and improve the Bot's features. Specifically:

Server configuration data is used to apply your custom settings per guild
User IDs are used to identify users for features like AFK, warnings, and subscriptions
Moderation logs are stored to provide mod history and audit trails to server admins
Ticket transcripts are stored temporarily until the ticket is closed and exported or deleted
Giveaway data is used to manage entries and pick winners

4 Data We Do NOT Collect

Elara does not collect, store, or process the following:

Real names, email addresses, phone numbers, or any personally identifiable information beyond Discord user IDs
Payment information of any kind
General message content outside of automod processing (which is not stored)
Voice or audio data
Browser data, cookies, or tracking pixels from our website

5 Data Sharing

We do not sell, rent, or share your data with any third parties for commercial or advertising purposes.

Data may be accessed by:

The Bot's developers, for debugging and maintenance purposes only
MongoDB Atlas, which hosts our database infrastructure under their own privacy terms

We do not share data with Discord beyond what is inherent in using the Discord API to operate the Bot.

6 Data Retention

Data is retained for as long as Elara is present in your server or as long as the associated feature is active. Specifically:

Server configuration data is deleted when Elara is removed from your server
User data (AFK, warns, etc.) persists until manually cleared or the user requests deletion
Ticket transcripts are deleted after the ticket is closed and the transcript is delivered
Snipe cache is cleared on every Bot restart
Music queue data is in-memory and never persisted

7 Your Rights

You have the right to:

Request a summary of what data Elara has stored about your user ID or server
Request deletion of your personal data (user ID-linked data) from our database
Remove Elara from your server at any time, which will trigger deletion of server-linked data

8 Security

We take reasonable measures to protect your data, including:

Database hosted on MongoDB Atlas with TLS encryption in transit
Access to the database is restricted to authorized developers only
Bot tokens and API keys are stored as environment variables, never in source code
The dashboard uses session-based authentication via Discord OAuth2

No system is 100% secure. In the event of a data breach, we will notify affected users through our support server.

9 Children's Privacy

Elara is intended for use on Discord, which requires users to be at least 13 years of age. We do not knowingly collect data from children under 13. If you believe a child under 13 has used Elara and their data has been stored, please contact us immediately.

10 Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be reflected by updating the "Last updated" date above. Continued use of Elara after changes constitutes acceptance of the updated policy.
